Job Summary

The Scheduler will be responsible for coordinating and scheduling patient appointments, ensuring smooth operations within the medical office. This position requires excellent communication skills, attention to detail, and the ability to handle scheduling logistics for multiple medical providers.

The Scheduler will work closely with patients, medical staff, and office management to ensure optimal scheduling and a positive patient experience.

About the Position

Full-time position - (Monday to Friday, 8:00 AM to 5:00 PM EST | Wednesday: 10:30 AM to 7:00 PM EST). Work in a fast-paced environment with frequent interactions with patients and medical staff. This position plays a critical role in maintaining an efficient and patient-friendly environment in the medical office.

Role Progression & Expanded Responsibilities

  • All hires will begin as Virtual Schedulers, regardless of prior experience or professional titles.
  • Based on performance and internal evaluations, some team members may take on additional responsibilities such as Tele Encounter support.
  • Candidates with a medical background, including doctors, may gradually begin to support Scribe-related tasks as part of their evolving role.

Key Responsibilities

  • Serve as the primary point of contact for new and prospective clients, responding to inquiries via phone, email, and text.
  • Appointment Scheduling: Efficiently schedule patient appointments for medical consultations, exams, tests, and treatments, ensuring that all providers’ schedules are well-managed.
  • Patient Communication: Communicate appointment details to patients, including date, time, and location. Provide reminders for upcoming appointments via phone, and the ECW / Healow portal.
  • Coordination with Providers: Ensure that all appointment times are coordinated with the medical staff’s availability and adjust schedules as necessary for urgent or unexpected needs.
  • Appointment Rescheduling: Assist in rescheduling appointments when necessary, accommodating patient and provider needs while maintaining office efficiency.
  • Record Maintenance: Maintain accurate patient records and appointment logs, ensuring compliance with privacy regulations.
  • Problem-Solving: Address and resolve patient scheduling issues, such as cancellations, no-shows, or scheduling conflicts.
  • Be available on a designated weblink during working hours to communicate and coordinate with your manager as needed.

Requirement

  • Previous experience in medical office administration or scheduling is highly preferred.
  • Familiarity with medical terminology and office software (e.g., EHR/EMR systems) is an asset.
  • Strong communication skills, both verbal and written.
  • Excellent organizational skills with the ability to manage multiple schedules.
  • Medical Degree is a must-have.
